Email & Calendar Migration

Project Overview

A professional services organization partnered with Spherium Consulting Group to migrate from Google Workspace to Microsoft 365 as part of a broader collaboration and security modernization initiative.

The engagement focused on migrating Gmail mailboxes, calendars, contacts, and collaboration workflows into Microsoft 365 while minimizing business disruption and preserving user productivity.

The project successfully transitioned the client to Exchange Online and the Microsoft 365 ecosystem, enabling centralized identity management, stronger security controls, improved collaboration capabilities, and tighter integration with Microsoft services.

Challenge

The client operated in a hybrid collaboration environment with users relying heavily on Gmail and Google Calendar for daily operations. Several challenges complicated the migration effort:

  • Large mailbox and calendar data volumes across multiple departments
  • Complex calendar sharing and delegation requirements
  • Need to preserve historical email data and folder structures
  • Mixed authentication and SSO integrations across SaaS platforms
  • Minimal downtime requirements for business-critical communications
  • Requirement for seamless end-user transition and training

The client also wanted to improve security posture by consolidating identity and collaboration services under Microsoft 365.
